Migrating configurations from a pre-production environment to a production environment is an essential task to maintain data integrity and operational efficiency in a document management platform such as Athento. In this article, we show you how to import spaces, dictionaries, notifications and entities, ensuring that the production environment is correctly synchronized with the pre-production environment.

Why is it important to import spaces in Athento?

When we work in pre-production environments, we perform tests, adjustments and configurations that then need to be replicated in production. Importing spaces allows you to move those configurations without the need to replicate them manually, saving time and minimizing errors. In addition, when importing spaces, you can include forms, trays, groups and permissions related to that space, ensuring a complete transfer.

Steps to import spaces in Athento

To import a space between the pre-production and production environment in Athento, follow these steps:

  1. Synchronizing the environments: before starting, make sure that the pre-production and production environments are correctly synchronized. This is done in the Team option, in the Applications tab.
  2. Import the space: once synchronized, go to the Spaces tab in the target (production) environment, click Import space.
The import will include all forms, trays and user groups associated with the space. If the space contains many configurations, the process may take longer, but usually the import is fast.

How to import dictionaries in Athento

In addition to importing spaces, you can also import dictionaries. This is useful when you have specific terms or data that need to be kept consistent in both environments.

  1. Select the dictionary to import: in the pre-production environment, select the dictionary you want to move, such as one with hundreds or thousands of terms.
  2. Import the dictionary: in the target environment, click Import Dictionary. The amount of time this process takes will depend on the size of the dictionary.

If you need to update the dictionary in production after making changes in pre-production, simply re-import the dictionary, and the added terms will be synchronized.

How to import notifications

Notifications play a key role in Athento workflows, especially when they are sent to users or teams. Importing notifications ensures that the same templates configured in pre-production are used in production.

  1. Access the Notifications tab: once the environments are synchronized, select the notification you want to import from the Notifications tab in the pre-production environment.
  2. Import the notification: click Import Notification and confirm the import. You will be able to view the template in production and, if necessary, make adjustments.

How to import entities in Athento

Athento offers an advanced option to import specific entities, such as forms, without transferring an entire space. This is especially useful when only certain key elements need to be migrated.

  1. Bridge space configuration: to import an entity without moving the entire space, you can create a “bridge space” in the pre-production environment. To this space, associate the entities you want to transfer, such as forms or permissions.
  2. Import the entity: once the entity is associated to the bridge space, go to the target environment and click on Import space. Select the “bridging space”, which contains the entity you want to import, and confirm the import.

This process is especially useful when you need to migrate specific forms, permissions, or groups without importing all the settings of an entire space. When using the “bridge space”, you can make adjustments in the target environment to associate the imported entities to the corresponding space.

Athento facilitates the efficient management of environments through the option to import spaces, dictionaries, notifications and entities. Keeping pre-production and production environments aligned ensures that configurations are consistent, minimizing errors and improving productivity.

Athento’s flexibility to handle configurations across bridging spaces and continuous updating of dictionaries and notifications makes this process easy to manage even for teams managing large volumes of data.
